How your data is processed

Versie 2.1.0

Version 2.1.0

Effective date: 25 September 2026.

The English text governs. The Dutch text is a translation. If they differ, the English text applies.

This is the disclosure you accept before ArkOffice sends a request to a cloud model. The names below are the host families. Legal names, locations, and transfer tools are on the Processor and recipient register at /processors.

When you select a cloud model, ArkOffice sends that request to that model's host.

What is sent

Only what that request needs:

  • the text of the message you submit
  • the contents of any file or note you attach to that message
  • audio you submit for transcription
  • material the assistant looks up or brings in to answer that request, when the request does that

Who receives it

Only the host of the model you select receives that inference request. That host is one of these families:

  • Anthropic, for selected Claude models
  • OpenAI, for selected OpenAI models
  • Google, for selected Gemini models
  • Mistral, for selected Mistral Cloud chat models
  • Scaleway, for selected models served on Scaleway, including Mistral and Llama

A model name can change inside a family. This disclosure names the family.

Before the reply, Groq performs the safety check. Groq scores the window of that chat send.

Audio you submit for transcription is sent to Mistral (Voxtral). Mistral chat and Voxtral are two purposes of the same company. If you separate the recording by speaker, that audio is also sent to pyannoteAI.

How it is used

  • Used to generate the reply, and to run the safety check on that send
  • Under the suppliers' terms, as they represent them to us, prompts and files are not used to train model weights
  • Each host keeps inference traffic for the period its terms declare
  • You can delete a chat and add to it. If a safety check flags a send, we keep that prompt in that chat, and you can no longer delete that chat or add to it
  • Where we keep the account, chats, and notes is in the Privacy Policy. File storage is the provider named on the register

The Privacy Policy is at /privacy-policy. The register is at /processors.

What the buttons do

Agree and continue stores this disclosure's version and the time on the account.

Decline signs you out. A cloud send does not proceed without this disclosure.

You can withdraw later. That also signs you out. If this text changes, it is shown again before the next cloud send. A cloud send is refused until the current version is agreed.
